Self-Drive Hire Executive

1. MAIN PURPOSE OF JOB

a. To operate the function within budget and profit targets.
b. To ensure all administration is carried out promptly and correctly.
c. To ensure all repairs and routine maintenance are completed to schedule.
d. To ensure good customer relations.
e. To ensure safe operation of hire vehicles by dealership staff and security of vehicles at all times on dealership premises.

2. RELATIONSHIPS AND PERSONAL ACTIVITIES
2.1 Directly responsible to:
Sales Manager.

2.2 Relationships with:
Financial Controller, Aftersales Manager, other company managers, Car Sales Executives, Fleet Sales Executive, Sales Admin Assistant, Sales Operations Assistant and Service Receptionist.
3. OBJECTIVES AND KEY TASKS
3.1 Improved profitability:
a. To ensure agreed profit margin from function.
b. To ensure security of all cars and contents whilst on premises.
c. To open hire accounts with suitable customers.

3.2 Customer satisfaction:
a. To ensure customer satisfaction by handing over model booked in first-class, clean condition and at time booked.
b. To receive all hirers and potential hirers with utmost courtesy.
c. To ensure customer obtains model booked.
d. To offer car delivery/collection service to customer%27s home/work place, if cost effective and within reasonable distance.

3.3 Cost control:
a. To take every precaution to prevent accidental damage or vandalism to hire vehicles whilst on company premises.
b. To politely draw customers%27 attention to vehicle security whilst vehicle is in their care.
c. To reduce non-revenue earning mileage to an absolute minimum.
d. To control maintenance budget within agreed limits.

4. LIMITS OF AUTHORITY
4.1 Expenditure:
To operate function within budget.

4.2 Cost control:
a. To monitor budget on weekly/monthly basis.
b. To pay close attention to vehicle mileage to maximise revenue.
5. MAIN JOB FUNCTIONS
5.1 Training:
To conduct a periodic review of training needs.

5.2 Administration:
a. To ensure all documentation completed accurately and promptly.
b. To ensure vehicle hire forms are correctly completed.
c. To ensure all cash, cheques and credit card vouchers are quickly cleared to secure place/financial department.

5.3 Communications:
a. To deal with all enquiries promptly.
b. To ensure utmost clarity in all contact with customers.
c. To ensure Sales Manager is aware of weekly position.
d. To ensure hirers are made aware of any problems which may affect advance bookings and are offered an alternative vehicle.

5.4 Marketing:
a. To contribute to dealership%27s marketing plan and to promotional events.
b. To book advertising for department according to dealership policy and budget (through Sales Manager).
c. To monitor local advertising returns to determine most effective marketing medium.

5.5 Finance:
a. To analyse bookings to show relative popularity of vehicles as an aid to cost-effective fleet renewal.
b. To co-operate with Sales Manager to ensure maximum revenue from vehicle disposals.

6. EXPERIENCE, QUALIFICATIONS AND TRAINING

a. To be impeccable in personal appearance and hygiene.
b. To have had experience as a vehicle hire executive.
c. To be decisive but calm when under pressure.
d. To have the ability to gain support of others, eg. service department staff, vehicle cleaners.
e. NVQ Level 3, Customer Service, Administration.

7. MAJOR RESPONSIBILITIES FOR RESULTS
7.1 Sales Volume:
Fleet utilisation of at least 75% average per month

7.2 Profit:
Direct profit of at least ?%

7.3 Cost control:
a. Maintenance budget not to exceed budget for period
b. Debtor days not to exceed?.
c. Advertising costs not to exceed budget for period
d. Reconditioning costs per ex-fleet unit not to exceed ??
